Terms & Conditions
Each student is responsible for a one time non refundable registration fee of $20. This fee covers paperwork processing as well as set up into our cost and billing system. This fee is applied for each school year and summer sessions.
Payments and Reserved Time Slots
For placement security all payments are made a week in advance of scheduled tutoring session or monthly.
After registration, weekly payments must be made on Sundays by 5pm prior to your child’s start week. If payments are not submitted on time, your slot for that week can not be guaranteed.
After registration, monthly session fees must be paid by the 25th of each month. (ex. June must be paid for by May 25th).
When using a credit or debit card there is an 8% convenience fee. We will be looking to accept cash & checks soon.
Sessions not paid on time, will not be able to receive service until payment is made and only if sessions are available. Any payments made after the 25th of the month are considered late and will be subject to a $5 late fee.
Your payment entitles you to (1) 60-minute session per week only on the scheduled days we selected. (Multiple session options are available)
Sessions
(IN PERSON) Children are welcome to arrive 3/5 minutes prior to sessions, we just ask that children sit quietly in the hall as session may be in progress.
(VIRTUAL) Children are strongly encouraged to log in 5-10 minutes ahead of their session to ensure they are available to start on time.
Cancellations
If you need to pause sessions, please contact us.
If you are no longer in need of our services, please inform us at least 1 month in advance and allow us to provide you with our exit letter as we would love to hear about your experience with us!
Refunds, Missed Sessions, and Tardies
Make up classes due to emergencies are optional, however only when a slot is available. If all classes are booked, then make-up may have to be scheduled at a later date.
It is IMPORTANT that you set your child up on the computer program to log in 5-10 minutes prior to their assigned time as sometimes situations occur and we want all of their session to be focused on the need.
Late session will NOT be extended. Late sessions can NOT be made up.
Missed classes with no call or no show are not available for make-up.
Sparky Brains Tutoring reserves the right to provide a substitute teacher if the regular teacher is ill or is otherwise unable to teach. We ensure that your child will continue on their same schedule and receive the same quality teaching as given by the base tutor. If for some reason a Tutor is running late or absent, parents will be contacted with the contact information provided and informed of changes immediately.
